The best AI automation tools for beginners
Ranked on published features, free-plan limits and beginner ease (checked 14 October 2026). We have not benchmarked these tools hands-on, and commissions don’t affect rankings.
AI automation tools connect the apps you already use so that work happens without copying and pasting: a new enquiry arrives, an AI model summarises it, and the summary lands in a spreadsheet or your inbox. You don’t need to code, but you do need a little patience while you learn. Here is how the main beginner options compare.

How to get started
Pick one repetitive task you already do by hand, such as copying form enquiries into a spreadsheet.
Write down the steps: what starts it (the trigger), what AI should do (for example, summarise in three bullet points) and where the result goes.
Build it on the free plan of Make or Zapier using test data, then run it once and check every field.
Switch it on, check it after a few days, and keep an eye on your credit or task usage.
How we chose
We looked for tools a beginner can realistically learn, with a free plan good enough to build a first real automation, and that can include AI steps. Plan details come from each provider’s official pricing page on the date shown. This is editorial guidance, not a hands-on benchmark. Make is an affiliate partner; Zapier and n8n are not, and we have not linked to them with affiliate links.
What is an AI automation tool?
An automation tool watches for something to happen in one app (a trigger), then does one or more actions in other apps. Adding AI means one of those actions can be a request to a model such as ChatGPT: summarise this email, sort this message into a category, draft a reply or pull out the key details. The result can then be saved to Google Sheets, sent by email or posted to Slack automatically.
A first AI automation: ChatGPT to Google Sheets
A good first project is a scenario that summarises new enquiries. In Make (opens in new tab): (1) a Google Forms or Gmail trigger watches for new enquiries; (2) an OpenAI module asks for a three-bullet summary and a suggested category; (3) a Google Sheets module adds a row with the name, summary and category; (4) optionally, an email module sends you the summary. Run it once with a test enquiry and check the output before switching it on. Note that using OpenAI inside an automation needs your own OpenAI API account, which is billed separately.
Make or Zapier?
Zapier is often the faster choice for simple two-step automations, and its Copilot can draft automations from a plain-English description. Make shows your whole workflow as connected steps on a canvas, which suits longer workflows with branches (routers), filters and AI steps, but it takes longer to learn: mapping data from one module into the next is the main skill. Both have free plans, so the best test is to build the same small automation in each and keep the one that makes more sense to you. See our Make review and Zapier profile.
What about n8n?
n8n is another workflow automation tool with AI features. Its main draw is that you can host it yourself on your own server, which gives more control over data and costs but needs technical skills to set up and maintain. It also offers hosted cloud plans. For most non-technical beginners, Make or Zapier will be easier to start with; check n8n’s official site for current plans and pricing.
Watch the limits
Every tool here meters usage. Make counts credits (most module actions use 1, and some AI features use more), Zapier counts tasks, and AI providers such as OpenAI charge for API use separately. A scenario that runs every few minutes or loops through many rows can use up a free allowance quickly. Estimate usage before you schedule anything, and set alerts where the tool offers them. Paid plans for Make and Zapier are listed in US dollars.
Keep data safe
Only connect the accounts an automation actually needs, and avoid sending sensitive personal, health or financial information to AI steps unless your organisation allows it. Keep a short note of what each automation does and who owns it, so it doesn’t keep running unnoticed.
Our verdict
For beginners who want AI outputs to flow into spreadsheets, email or chat automatically, Make’s free plan is a strong place to learn multi-step workflows. If you just need one quick connection between two apps, Zapier is simpler. Start small, test carefully and only upgrade when you keep hitting a limit.

Yes. Make’s Free plan includes 1,000 credits a month, the visual builder, routers and filters, with a 15-minute minimum interval between scheduled runs.
Is n8n free?
